Does this sound familiar?

A wholesaler serves dozens, often hundreds, of regular customers: shops, workshops, contractors. Each has their own prices, credit limits and way of ordering — one calls, another sends an e-mail, a third sends a photo of a list via a messenger app.

When orders have to be retyped into the ERP and availability checked by hand, the sales office spends most of its time retyping instead of selling, and mistakes only come to light when the goods are dispatched.

  • Orders come in by phone, e-mail and messenger apps
  • Every customer has different prices and discounts that are hard to maintain in spreadsheets
  • Customers call to ask about availability because they cannot see stock levels
  • The office retypes orders into the ERP and fixes mistakes
  • Field sales reps do not have up-to-date prices and stock levels
  • A catalogue with thousands of items has to be updated in several places

How it works today and after implementation

Today

  • The customer calls with a list of goods
  • The office checks stock and prices in the ERP
  • The order is retyped by hand
  • The customer asks when the goods will arrive

After implementation

  • The customer orders on the B2B platform at any time
  • Sees their own prices and current stock levels
  • The order goes into the ERP automatically
  • Status, invoices and delivery are visible online

How the data flows

1
Wholesale customer
Places an order on the B2B platform or through a sales rep, with their own prices and credit limit.
2
B2B platform
Checks stock, prices and the credit limit, and saves the order without involving the office.
3
ERP system
Receives the order automatically, e.g. in Subiekt, Wapro or Comarch.
4
Warehouse
Gets the order for picking straight away, without retyping.
5
Documents and delivery
The invoice, status and tracking number go back to the platform, and the customer gets a notification.

Frequently asked questions from wholesalers

Will customers want to order through the platform?

Usually yes, if ordering is faster than a phone call: search, repeating a previous order, importing a list from a file. Sales reps can still enter phone orders on the platform.

Will you connect the platform with our ERP?

Yes. We integrate with Subiekt, Wapro, Comarch, wFirma, Fakturownia and others. If you use a different system, we check its data exchange options.

Can the platform handle a large catalogue?

Yes. We pull products, prices and stock levels from the ERP, and customers find goods by name, item code or EAN — even in a catalogue with thousands of items.

Can each customer have their own prices and credit limit?

Yes. Prices, discounts, limits and payment terms are assigned to a customer or a customer group, usually straight from the ERP.

Can sales reps place orders on behalf of customers?

Yes. A sales rep selects the customer and places an order with their prices — on a computer in the office or on a phone during a visit.

Does everything have to be implemented at once?

No. We usually start with orders from regular customers and the ERP integration, and add further parts in stages.
