Does this sound familiar?

Every month, an accounting firm collects documents from dozens of clients. Invoices arrive by e-mail, as phone photos or in envelopes, and questions and arrangements are scattered across employees’ inboxes.

At the end of the month, instead of bookkeeping, the team hunts for missing documents and reminds clients of deadlines — and the risk of mistakes grows with the number of clients.

  • Clients send documents by e-mail, as photos and on paper
  • Every month you have to chase missing invoices
  • Arrangements with clients are scattered across employees’ inboxes
  • Document data is retyped by hand into the accounting software
  • Clients do not know whether their documents arrived and were booked
  • Tax and social security (ZUS) amounts and deadlines have to be sent to each client separately

How it works today and after implementation

Today

  • The client e-mails invoices
  • An employee saves attachments in folders
  • The office chases missing documents by phone
  • The client e-mails to ask about the tax amount

After implementation

  • The client uploads documents in the portal or app
  • Documents are assigned to the client and month
  • Reminders about missing documents are sent automatically
  • Amounts and deadlines are visible in the client portal

How the data flows

1
Client
Uploads documents in the portal or takes a photo of an invoice in the app.
2
Client portal
Assigns documents to the client and period, and confirms receipt.
3
Data capture
Invoice data is read automatically and waits for the accountant’s review.
4
Accounting software
Reviewed documents go into the accounting software without manual retyping.
5
Settlements and deadlines
The client sees amounts due, deadlines and the status of their documents in the portal.

What the solution consists of

All client documents end up in one place, organised by client, period and type — with the history and status of each one.

  • documents assigned to the client and month,
  • statuses: received, needs clarification, booked,
  • search and archive in one place.

Frequently asked questions from accounting firms

Will our clients manage to use the portal?

Yes, as long as sending a document is easier than an e-mail: dragging a file or taking a photo with a phone. Clients who prefer e-mail can send documents to a dedicated address and the system will assign them to the right client.

Will invoice data be captured automatically?

Yes. Counterparty, amounts, VAT rates and dates are read automatically, and the accountant only checks them before booking.

Will you connect the system with our accounting software?

We check the data exchange options of the software you use and prepare document import without manual retyping.

Are our clients’ documents secure?

Yes. The connection is encrypted, each client sees only their own documents, and the firm’s employees can access only the clients assigned to them.

Can we start with some of our clients?

Yes. We usually start with a few clients and move the rest over once the process has proven itself.

Where do we start?

With a conversation about how you collect documents today and which software you use. Based on that, we propose the first stage and a quote.
