Does this sound familiar?

A service company lives on appointments and jobs: visits, installations, servicing, consultations. Clients want to book quickly, ideally without calling, and the team needs to know who works where and when.

When appointments are spread across several calendars and arrangements live in text messages and e-mails, it is easy to end up with double bookings, forgotten jobs and clients who do not show up.

  • Clients call to book an appointment, even outside business hours
  • Appointments are in several calendars or in a notebook
  • Clients forget about appointments and do not show up
  • Jobs and arrangements get lost in text messages and e-mails
  • Field staff do not have up-to-date job information
  • Invoices and service reports are prepared by hand after the job

How it works today and after implementation

Today

  • The client calls to book an appointment
  • The appointment is entered into the calendar by hand
  • The employee gets the details by text message
  • The invoice is issued later, by hand

After implementation

  • The client books online at any time
  • The team calendar updates itself
  • The employee has the job in the app
  • Invoices and reminders are sent automatically

How the data flows

1
Customer
Chooses a service and a free slot online, or submits a request via a form or chat.
2
Bookings and jobs
The system checks team availability, saves the job and sends a confirmation.
3
Team
Sees the job in the calendar and app, with the address, description and client history.
4
Delivery
The employee marks the job as done and adds photos or a report, and the client gets a status update.
5
Invoice and reminders
The document goes to the accounting system, and the client gets a reminder about the next visit or service.

Frequently asked questions from service companies

Can clients book an appointment themselves?

Yes. They see only the free slots for the chosen service and employee, and receive a confirmation by e-mail or text message after booking.

Will the system remind clients about their appointment?

Yes. Reminders are sent automatically before the appointment, and the client can confirm or reschedule.

Can we take prepayments?

Yes. A booking can be combined with an online payment, e.g. a deposit or the full price of the service.

Will you connect the system with our calendar and invoicing?

Yes. We integrate with Google Calendar, Fakturownia, wFirma and others, and check other systems for data exchange options.

Wouldn’t an off-the-shelf booking app be enough?

Often it is, and then we will tell you so. A custom system makes sense when the process is unusual: field jobs, multiple stages, service reports or integrations that off-the-shelf tools do not support.

Does everything have to be implemented at once?

No. We usually start with online booking and add the team app and automation in stages.
